PRIVACY POLICY – END POLIO NOW SHOP GUERNSEY LBG

The End Polio Now Shop team are committed to protecting and respecting your privacy.  In this Transparency document we want to explain to you what information we collect and how we use it.

How do we collect information

You either contact us directly through our personal email address known to many Rotarians or through the contact button on the End Polio Now Guernsey Shop LBG (the Shop) website https://endpolionowguernseyshop.org. You may also give us details by phone or with direct personal contact.

What information is collected

We are the sole owners of the information collected on this site and that you give us by email, phone or in person. We only have access to information you voluntarily give us.
The only information we collect from you is to enable us to answer your questions and to process any order for products that you place with us. The information we collect may include Your name, address, delivery address, telephone numbers, email address, the items you have ordered and any enquiries you have made and our responses to those enquiries.

None of the information collected meets the definition of being special category data.

The online website system generally logs all pages visited. The information recorded includes the internet protocol (ip) address (the unique address for the device you are using to access the internet), browser used, operating system and the url (the internet address of the page on the Shop’s website) of the viewed page. We do not connect the ip address with a specific user so do not know what you as a specific user have viewed.

No credit or debit card information is collected or stored by us as all online payments are processed through the secure paypal system.

If payment is made for orders processed manually through online banking or by cheque or cash no personal information is collected other than what appears on the Shop bank account statements.

What do we do with the information and the security of it

We will use the information you have sent us by email or through the website to answer your enquiry, to process your order or to process any donation you make.

Orders are fulfilled by ourselves directly, by our suppliers based in either the UK or in Guernsey or by individual Rotarians in the UK, Jersey or Guernsey. These Rotarians will receive the necessary information to enable them to send the items ordered by you to the delivery address you have given and to deal with any specific requests you have made.

The website is written and maintained by our volunteer web designer who lives in Poland.  The information is stored in a password protected MySQL database.   User passwords are stored encrypted and no-one other than you (or anyone you give that password to) knows or can access that password.

You are able to edit your delivery address, telephone and password details directly on the website.

We may contact you with questions relating to your order, enquiry or donation.

We will not sell, rent or give your information to third parties other than to process your order as set out above and will not share your data with third parties for marketing purposes.

We may contact you via email in the future to tell you about specials, new products or changes to this privacy policy. 

We take precautions to protect your information both online and offline. Whenever we collect sensitive information (such as credit data), that information is encrypted and transmitted to us in a secure way. You can verify this by looking for a lock icon in the address bar and for “https” at the beginning of the address of the Web page.

Your access to and control over information

Who is the data controller and data protection officer – and making a complaint

Rotarian Jannine Birtwistle who is a director of the Shop is the data controller.  She can be contacted by email epnguernsey@me.com. If you have any complaint concerning the Shop’s use of the data please contact the data controller in the first instance.

The Shop is not required to have a data protection officer but any data protection questions can be addressed to Jannine Birtwistle, the data controller.

Legal Processing

The legal basis for the processing of your data is that it is necessary as a core business function to fulfil your order under Item 2 of Part 1 of Schedule 2 to the Data Protection (Bailiwick of Guernsey) Law 2017 and therefore.

Retention period

Your data will be kept as part of the financial records of the Shop and will be retained for the period legally required to fulfil our statutory obligations for the relevant activity.
